We know planning a wedding often comes with more questions than answers. A big one that we often hear is if I have a venue coordinator, do I need a wedding planner? Some couples assume that venue and wedding coordinator are the same person and serve the same purpose. Well, we are here to clarify this common misconception because it can very seriously make or break your day if you make an uninformed decision.

What Is a Wedding Coordinator?
A wedding coordinator is the person that ensures that your wedding goes according to plan. They typically step in a few weeks to a few months before your wedding to talk to you and your partner about how you want your wedding to look and flow.
Key Roles:
- Wedding master timeline creation
- Vendor communication and management
- Day-of-coordination from start-up to open dancing
- Set-Up & Tear Down
- Problem solver for any issues that arise
- Point-of-contact between couple and all vendors
What is a Venue Coordinator?
A venue coordinator is the person in charge of managing the logistics of the event venue. They typically are in communication with the wedding coordinator to relay important venue information. They are often not present at the wedding event and if they are, they arrive a few hours before event start.
Key Roles:
- Wedding vendor arrival time confirmation
- Parking information for guests and vendors
- Venue layout and set-up provision
- Point-of-contact for venue related issues i.e. plumbing, lighting, etc.
- Ensures venue rules and guidelines are being followed

Do I Need a Wedding Coordinator If My Venue Has One?
Traditional venues usually don’t provide a wedding coordinator and require you to hire a day-of-coordinator if you don’t have a wedding planner. Some venues have a venue coordinator included in their wedding package which is an amazing feature. As a wedding planner, having them be present with us is always a plus as they can solve venue related issues quickly and without a hitch.
But can they do it all? The answer really depends on you, the couple, and what type of wedding you decide to have. It also requires a detailed conversation with your venue coordinator. Factors that are going to influence this decision are the size of your wedding (number of guests), number of vendors that need coordinating, and the amount of stress you’ll allow yourself to have on wedding day.
Common Misconceptions Couples Have About Venue Coordinators
Venue coordinator’s focus is all about the logistics of how the VENUE runs, not how your wedding goes. Unless previously agreed upon, they usually are not involved in the running of the ceremony. If you are picky on the timing of what part of the song the bridesmaids should be walking down the aisle and where the flower girls will sit, the venue coordinator is not the person to help here.
They also have no responsibility over the rest of your wedding day vendor team. If you want your photographer to take pictures at sunset for the perfect wedding portrait, you will personally have to ensure they are aware and discuss the photography timeline with them. The venue coordinator will only coordinate the venue staff timeline and will not manage the rest.
When a Venue Coordinator Is Enough
In some cases, venue coordinators might be just enough. If you plan to have a small ceremony with a short timeline, and minimal vendors, the venue coordinator can be just right. Even more so, if the layout of the venue is very simple, since it will be very straightforward for everyone to get where they need to go.
Any other scenario and we would wholeheartedly recommend getting a wedding coordinator. Couples don’t want to be stressing about who is where and where is what. You want to have a very relaxed day where you can just enjoy the moment and, in most cases, the only way to have that is to have a wedding coordinator. We will be your advocates for you on your special day and will try our hardest to make it look exactly the way you want it to.
Final Verdict: Venue Coordinator or Wedding Coordinator?
A venue and wedding coordinator have intrinsically different jobs, they are not interchangeable. One protects the venue, and one protects YOU. So, if you want a stress-free day where someone rallies for you, then get a wedding coordinator!
